  • Top Event Planner will be at your disposal via email and phone calls throughout the duration of your planning.
  • Attendance at meetings at the bride and groom’s request.
  • Review and proof your BEO (Banquet Event Order) provided by the catering manager.
  • Contact vendors for arrival times and communicate venue’s procedures for unloading, setup and breakdown.
  • Confirm all vendor orders and quantities of rental items.
  •  Distribute timeline to all vendors 1 week before wedding date, all of which will be approved by client.
  • Assist with setup: escort cards, menus, favors, sign-in book, gifts, etc.
  • Work with the Officiant in coordinating the ceremony.
  • Assist the Officiant and orchestrate ceremony rehearsal with bridal party and family.
  • Assist Ushers with seating and program distribution
  • Communicate with musicians, DJs, MC, etc. on ceremony/reception song selection, as well as music cues for the processional and grand entrances.
  • Manage banquet staff regarding setup and compliance to floor plans.
  • Coordinate with band/DJ for grand entrance, first dance, cake cutting, bouquet toss, garter toss, etc.
  • Manage breakdown, packaging and safe storage of all your wedding items and the conclusion of the wedding.

A minimum of two Assistants is included throughout the duration of the event. For every 100 guests over 200 guests, an additional Assistant will be required at an additional cost.

For the couple seeking an effortless process, Top Event Planner focuses on every detail including design and décor, assembly of the couples’ team of service providers, unlimited professional advice, and detailed execution of the wedding day.

Includes: Wedding guidance, minute-by-minute timeline creation, a liaison between all vendors, orchestration of ceremony rehearsal, day-of setup and management of bridal party.

  • The initial meeting involves a comprehensive discussion on your Wedding Style and Budget Management.
  • Ongoing access to Top Event Planner for professional advice and guidance with unlimited consultation via email and phone.
  • Establish all décor elements including color combinations, theme and design concepts.
  •  Arrange and attend meetings with 2-3 Florist with additional follow-up meetings. Referred Florists will provide a complimentary mock-up table centerpiece.
  • Setup and attend meetings with service providers based on client’s needs. This entails 1-3 meetings for each of the following categories: photography, videography, lighting, custom wedding cakes/baker, etc.
  • Place orders for any rental items: chairs, linens, draping, lounge furniture, dance floor, specialized china, glassware, flatware, props, etc.
  • Assemble musicians for the ceremony and cocktail hour.
  • Assist with selection of band or Disc Jockey for reception.
  • Provide referrals for Officiants, transportation, hair and make-up artists, etc.
  • Assist with wording and selection of stationery for save the date cards and invitations.
  • Review proposals and terms of final contracts with attended referred service providers.
  • Assist with the selection of favors, gifts and welcome baskets.
  • Attend menu selection/ banquet setup, including meeting with catering manager and client.
